Position - Meeting Services Coordinator
Reports to - Director of Event Services
FLSA status - Salaried, Exempt
SMG, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Meeting Services Coordinator at John Paul Jones Arena. This entry level position provides general event support and functions as the facility’s primary point of contact for all meetings, social functions, and select public events.
Major Responsibilities:
- Serves as the Event Services Department liaison and client representative to provide planning, implementation and delivery of all assigned events.
- Fields all requests for the use of private event spaces.
- Manages the database of potential meeting clients and increases area contacts and space rentals. Promotes the meeting capabilities of the Arena to the surrounding community.
- Creates and follows through on events from the initial client meeting, preparation of client estimates and rental agreements through final billing. Oversees third-party vendors to ensure quality product and events for clients.
- Assists with client site visits and general tours as needed.
- Coordinates event schedules with contracted security/staffing companies, provides guidance and supervision during events and follows up after all events to ensure proper billing.
- Communicates all event requirements (staffing, set-up plans, etc.) to appropriate departments.
- Creates and maintains event files; creates and distributes Event Data Sheets for all events.
- Assists the Director of Event Services and Event Services Manager with all events as needed.
- Provides support as needed in the Arena Security Office.
- Performs all other duties as assigned.
Qualifications:
- Bachelor’s degree or an equivalent combination of training and related experience. Event management experience or meeting/event planning experience preferred.
- Excellent organizational, planning, problem-solving and interpersonal skills. Must have the ability to prioritize and work on multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications required; CAD experience preferred.
- Ability to work flexible hours based on events, including daytime, evening, weekends and holidays as needed.

Position - Operations Crew – Part Time
Reports to - Operations Supervisor
FLSA status - Hourly, Non-Exempt
SMG, the leader in privately managed public assembly facilities has excellent and immediate openings for part-time Operations Crew members at John Paul Jones Arena. Under general supervision, the Operations Crew members assist with general maintenance, provide general labor and help with conversions to prepare the facility for events.
Major Responsibilities:
- Assists in all aspects of the conversion process in preparation for University of Virginia athletic events and outside events such as concerts, private meetings, family shows, etc. Duties may include setting up and tearing down staging, tables, portable chairs, steel barricades, railing and other furnishings and equipment.
- Under supervision, assists with general building maintenance and operations including but not limited to; painting, replacing ceiling tiles, fixing seats, loading/unloading delivery trucks, etc.
- Follows all policies/procedures, risk management, safety precautions, rules, regulations and emergency procedures established at the facility. Reports all irregularities, discrepancies, loss of property, and safety and damage concerns to the supervisor.
- Maintains effective working relationships and high level of customer service with clients, employees, exhibitors, patrons and others encountered through the course of employment.
- Performs housekeeping duties as assigned.
- Other duties and responsibilities as assigned.
Qualifications:
- High School Diploma or GED is required.
- Operational knowledge of tools and equipment is helpful; forklift experience is a plus.
- Ability to take/follow direction from multiple supervisors and management staff.
- Ability to work as part of a team and also able to work independently, exercising judgment and initiative.
- Remain flexible and adjust to situations as they occur.
- Strong attention to detail and follow through.
- Must be able to follow oral and written instructions in English and communicate in English effectively with others in oral and written form.
- Must be able to perform a high degree of physical exertion including lifting up to 50 lbs, carrying, moving and climbing.
- Work extended and/or irregular hours including nights, weekends and holidays as needed (schedule will be based on event schedules and staffing needs).
